How do we add our clients and engineers?
Add each client with its contacts, the regions you cover for them and the rates you agreed. Add each engineer with their phone number, skills, regions and documents. During setup, we help you bring in what you have.

How to log your first job
Sign in and add a job for a client: the site address, the scope, the dates and the client's own ticket or PO number. File it in a project, or keep it in the client's No project list. Pendira warns you when the same job already exists.

A project groups a client's jobs, from one site to a rollout of thousands. Add its sites with access notes, log jobs into it and follow progress by phase. You can move jobs between a client's projects in bulk.

Yes. Hold and cancel always take a reason, and the job's timeline keeps it. From a list, you can move, hold or cancel many jobs at once. A job can be deleted only while nothing has happened on it yet.

How do we add an engineer?
Add a profile with their phone number, skills, regions, documents with expiry dates and default rate. The profile is private to your company. Pendira warns you before a document expires, and their work history builds up on its own.

Open the job and pick engineers. Pendira suggests who fits by skills, region and rating, and says why. Send one availability check by text to up to ten of them, and each taps available or not. A reminder goes out after an hour without an answer. You book the one you want.

A text with a secure link. A 6-digit code sent to their own phone opens it. They see the job, accept it, check in and out, tick the checklist, take photos, get the customer's signature and add extra costs. They see only their own work and their own rate, never your client's name or your price.
Do engineers need to install an app?
No. There is no app and no password. The link opens in the phone's browser, stays signed in for weeks and speaks English and Dutch. Photos upload again by themselves when the signal drops.

Closing a work order with missing proof
Finished work waits in the To close list. The review shows every check: work done, rate set, hours in, extra costs decided. If photos or the signature are missing, you can still close with a written reason. Closing writes what to bill the client and what to pay the engineer.

Closed work becomes lines to bill. Pick a client, check the draft and issue the invoice: numbers are given on issue, so there are no gaps. Export your invoices as a CSV file for your accounting tool. Pendira does not send invoices by email or move money.

Every closed work order writes what the engineer is owed. Finance approves the lines, groups them into one payout per engineer and marks it paid with a date and reference. An optional two-person rule stops anyone approving a payment for a rate they set.

Inviting your team and setting roles
Invite teammates and give each a role: Admin, Manager, Coordinator, Finance, Viewer or one of your own. A role switches 38 permissions on or off, and each person sees all clients or only assigned ones. Nobody can hand out a permission they do not have.

You sign in with your password and a code from an authenticator app, with recovery codes in case you lose your phone. Two-factor is on by default for new companies. An account locks after repeated failed attempts.

Only people whose role allows it. For everyone else, the server leaves prices, rates and margins out, so they never show on a screen or in an export. Your client's guest link never shows prices.
